GENERAL MANAGERNiseko

JOB OVERVIEW

The General Manager will ensure the efficient and profitable running of the business to ensure that all key stakeholders are getting the best possible outcomes whether they be employees, guests or owners. You will have the job of the daily oversight of the operational aspects of the business particularly at peak summer and winter seasons. In the off-seasons, the work will tend to focus on preparation and various other works including recruitment, property renovations, change and improvement projects, event planning and more. You will have a close relationship with key personnel. You will work closely with the Representative Director and the Assistant General Manager and ensure that your activities are coordinated and effective addressing strategic and operational concerns. Diplomacy, tact and a helpful, positive, professional presentation are required.

JOB DESCRIPTION

Ensure the business works on a day to day basis and that service levels are maintained to the highest possible standards.
Take a role and become involved in driving the various key areas of the business and identifying opportunities to improve service, reduce costs and enhance profitability.
Calculate and execute different service plans for the various NMS buildings in conjunction with the various functional managers. Produce budget and staffing plans for buildings with concierge services.
Have a clear vision for NMS’s operations and its key business units and demonstrate strong leadership to employees and to the community. Develop and nature key relationships both within the group and
Take a strong role in the recruitment of core NMS staff, attend interviews and suggest internal moves and promotions as necessary.
Be able to motivate your team and strive towards the achievement of NMS’s stated business goals/KPIs within stated business constraints.
Maintain loyalty at a customer and property owner level through outstanding service quality and delivery.
Produce with ideas for systems improvements and innovation to reduce costs and improve profitability.
Ensure NMS retains its reputation as Niseko’s property and letting management company of choice.
Be ready to think flexible and respond to the changing demands of the market
Provide help, information and suggestions to NMS at all levels, and attend all meetings as required.
Full-time position based on 40 hour week. Additional work is required as per the operational demands of the business. Weekend work is likely in peak seasons.

QUALIFICATIONS / REQUIREMENTS

Previous hotel management in a condominium hotel or hotel setting is essential.
Experience and knowledge of operating in a highly seasonal environment
Ideally English native level with bilingual skills a plus.
Be an excellent, flexible, inspirational and involved team player.
Understand NMS’s vision for customer service and be committed to its delivery.
Well-developed written and verbal communication skills and the ability to communicate well across all levels of the organization.
Ability to communicate effectively with a wide cross section of community stakeholders, as well as with those within the company.
Ability to set priorities and work to deadlines with close attention to detail.
Must be able to receive directives and ensure they are accurately and promptly followed through in the manner specified to their conclusion.
Always be punctual and considerate of fellow work colleagues.
Visa status permitting full-time work in Japan. Sponsorship available for the right applicant.
Driving license essential.

FRONT DESK OFFICER
Niseko
POSITION OVERVIEW

The Front Desk officer will be the at the forefront of guest interaction, being the person responsible for the actual experience of the guests coming to stay in properties managed by Vacation Niseko.

This role is tailored for people who are willing to share their passion for the snow and for this resort and want to participate in creating great memories for our guests.

REPORTING TO

Vacation Niseko Operations Manager/General Manager

MAIN ROLES AND RESPONSIBILITIES

Welcoming guests in the hotel, proceeding with necessary checks and administrative requirements
Answering questions of in-house guests
Manage incoming booking requests from online travel agents (expedia, booking.com, …)
Prepare next season logistics during shoulder seasons (spring and autumn): revise guest facing documents
Manage content of room manual and recommendation guide (e.g. restaurants in the vicinity, …)
Helps with initial and ongoing training of seasonal staff
Manages key inventory
Handling customer complaints and queries
In exceptional cases you can be asked to help housekeeping staff on extremely busy days

PERSONAL ATTRIBUTES

Eligible for a Japan work visa or any other Visa status permitting full-time work in Japan.
Native English speaker or fluent in business English – Japanese strongly recommended and Mandarin a plus.
Ability to absorb a lot of information quickly and learn on the job.
Excellent attention to detail.
Comfortable with Excel, Word and other Office suites.
Ability to drive and license holder.

RESERVATIONS OFFICERNiseko

JOB OVERVIEW

The Reservations Officer will be responsible to execute the sales strategy of selling short-term stays to potential guests and agents.
Guests will contact the Reservations Officer via e-mail, through the website or via a phone call and the Reservations Officer has to communicate effectively with the guest to find the proper accommodation which fits their needs.

With our agent partners, you will handle the enquiries and questions regarding accommodation stays and winter activities.

RESPONSIBILITIES AND DUTIES

Contact guests/agents via e-mail or telephone, giving them quotes for relevant accommodation and understand their needs to close the sales.
Answer guests/agents questions regarding accommodation via email or telephone.
Maintenance of e-mail templates and associated documents used for communications between Vacation Niseko the guest and our agent partners.
Chasing guests for payments as required.
Verification of bookings already in the system in order to detect potential input mistakes or miscommunications.
Work closely with the operations team to make sure that Vacation Niseko can deliver on the promises made by the Reservations Officer to both the guest and our agent partners.
Website content maintenance.
Helping out the Marketing team as necessary.

REPORTS TO

Sales Supervisor who reports to the Sales and Marketing Manager

QUALIFICATIONS / REQUIREMENTS

Eligible for a Japan work visa
2 years of experience as a sales staff for a travel agent
Native English speaker or Fluent in business English & Mandarin - Japanese spoken desired

RENTAL PROGRAM SUPERVISORNiseko

JOB OVERVIEW

In this role, financial analysis is a key requirement as owners will require you to investigate the yearly or monthly financial statements in order to explain the items. Further to this, you will often have to relate these costs or fees in relation to the Rental Program Management Agreement so owners understand the basis of the costs or fees. Having a solid understanding of how the finances relate to the legal contracts is also beneficial for this role.

RESPONSIBILITIES AND DUTIES

Rental Management for the Branded Residences
Understand the financials and occupancy performance for the properties
Monthly accounting of owner trust accounts (expenses and rental income)
Payment for bills, utilities and invoices related to the unit
Create and manage the setup of a new owner in the trust accounting and reservation system.
Owner Liaison for owner bookings and property related inquiries (this will management include of owners’ discounts and benefits)
Establish a good working relationship and liaise as necessary with the Hotel team ensure the smooth running of the program
Answer owner’s questions regarding financial performance of owner’s property via email or by telephones

REPORTS TO

Rental Program Manager

QUALIFICATIONS / REQUIREMENTS
