We are looking for a reliable and proactive Executive Assistant & Office Support to join our growing team. In this role, you will support our executives as well as contribute to the smooth operation of our office functions.
You'll be working in a flexible, remote-first environment, collaborating with a friendly and international team.
Key Responsibilities:
* Manage executive schedules, including calendar management, meeting coordination, and email assistance (mainly for the CEO)
* Support recruiting operations (coordinate interview scheduling, communicate with recruiters and candidates, etc.)
* Prepare vendor forms, HR documents, and related paperwork
* Handle incoming mail and calls (secondary response from office front desk)
* Visit the office once a month for physical mail check
* Research and make reservations for restaurants, meeting venues, and events
* Support internal and external communications (organize information, coordinate as needed)
* Provide general administrative support for ad-hoc tasks as requested by the CEO and team

Qualifications:
* Prior experience in administrative or office support roles (industry or job type not required)
* Comfortable reading and writing in English (daily conversation-level speaking ability is sufficient)
* Strong attention to detail and interest in supporting the team through organized communication
* Reside in or near Tokyo (monthly office visit required)
* Able to work independently and responsibly in a remote work environment
* Interest in working in a flexible, diverse, startup culture
* Native or fluent level of Japanese
*Note: This position mainly involves text-based communication. Strong spoken English is not required if you are motivated and willing to learn. We primarily use Slack for internal communication.*
Working Hours:
* Remote work (with one office visit per month for mail check)
* Approx. 3 hours per day, weekdays (Monday–Friday) between 9:00 AM – 6:00 PM, depending on task volume and scheduling needs
* Weekends, Japanese national holidays, year-end/New Year holidays, and 2 days of summer vacation are off
* 5 days of sick leave annually (can also be used for family illness)

Compensation:
* Annual salary range: ¥1,060,000 – ¥2,000,000 (will be decided based on experience)
